When you are in a sales position and want to impress a
potential customer, choose your words carefully and check that you are saying
what you mean to say. Especially when you are part of a strategic account
planning team, see that your written communications are as professional, persuasive
and polished as your spoken communications.
Here is a quick checklist to make sure you put your best
foot forward in your emails, as well as more formal proposals.
·
Be
precise and concise. Use words that express exactly what you want to say
and keep them brief.
·
Don’t use
emoticons. Save these cartoon-like images for communications with friends.
·
Use
pronouns that speak with the customer in mind. Too many “I’s” leave your
client or your team out of the picture.
·
Revise
and edit for accuracy and clarity and never rely solely on spell-check. Too
many words slip through that may be correctly spelled but are not at all what
you intended.
·
Shorten
paragraphs and use bullets to make it easy for the reader to grasp the most
important points. Less is more.
Follow up to make sure the communication was received, read and understood.
